The Grandstream GXP-2000 and GXP-2020 can share phonebooks so your whole company can use the same contact list.
If one phone number changes, then you only need to update one central file and the phones will all access the updated phonebook.
You will need or have access to a web server either on your local area network or hosted somewhere on the internet, and be able to access the web based GUI on each on the Grandstream devices. In order to use this feature you will need to create a file called gs_phonebook.xml and upload it to a publicly available directory on your web server for example in /var/www/sites/mydomain.dom.
The .xml file should formatted as follows:

You then need to configure your GXP-2000 to synchronise with the webserver and download the XML document, please ensure the device firmware is up to date (running 188.8.131.52 is recommended).
Access the phones web based GUI by entering the phones IP address in your web browser and then log into the phone as the admin user.
Once you are logged in, click on the Advanced tab. Scroll down to Phonebook XML Download, and set Enable Phonebook XML Download to Yes, HTTP.
In the Phonebook XML Server Path, enter the URL for the XML, i.e. http://mydomain.dom/gs_phonebook.xml.
Set the Download Interval time to a suitable value in minutes (120 is recommended, the device will download the phonebook every time upon reboot), and set Remove Manually-edited entries on Download to your preference. Then scroll down, click on Update followed by Reboot.
The device should now reboot, and download the XML phonebook specified in the URL above from a server on your intranet or one that is externally hosted.
If this fails you can check the web server error/access logs to ensure the phone has permission to read the content.
