Hunt groups are used to call groups of phones in a set order, or all at the same time. This is useful when any one of a number of people could pick up a call.
To create a new hunt group, select Hunt Groups from the top menu of your control panel.
You will then be presented with the following options to Add new Hunt Group, if you do not have one set up already.
Use the Add First/New Hunt Group box to create a new hunt group. Select an unused internal number to use from the drop-down box provided and then enter a name so you know what the hunt group is for. Add an email address so that you can be notified if any voicemail is left for the group and click Create. You can also choose different internal numbers to use as to the Hunt Group if you wish.
The next step is to enter which extension you would like the Hunt Group to call first. Clicking the icon above the text Who should we call? will bring up the list of extensions that you can select from. You can then populate the box underneath once you decide how many seconds the Extension should ring for.
This will then present you with available extensions to be included in the Hunt Group and you can click on the one that you want to ring.
Once you have selected your extension, you will be presented with an option on which you can determine what day and what time the call should be routed to the chosen extension. You just need to click on the calendar icon (as below).
You can then select the day/time that you want calls to ring through to your selected extension. If you wanted to route calls Monday – Friday (9am-5pm) then you would set it up as below and click Update.
You can add another extension to ring at the same time by clicking on the option to Call somebody else at the time. The drop-down box will re-appear and you can select another extension.
You can then add a further step if none of your chosen extensions within the Hunt Group are available. Click on the + icon to add another step in the cal flow.
Clicking this will present you with the same option as in step 1 so that you can add additional members to the Hunt Group.
The final step is to add in an option should all of the available extensions within the Hunt Group be unavailable. The options presented will present your voicemail if the call is not answered (you can choose which mailbox the voicemail is to be left on from the drop-down box), or let the call die (hang up the call).
Always ensure that you click Update button to save changes.
It is also worth noting that you can you can select an extension to ring at different times if you require a more complex hunt group. In the screenshot below the Reception extension is set to ring Monday to Friday 09:00-17:00. If you would like to add another time for this extension to ring (say Saturday 10:00 - 13:00), then you can click on the +Add another time option to add additional and alternative times that you want this extension to ring .
